INTERNATIONAL TRAVELLING PERSONAL ASSISTANT FOR HIGH-PROFILE PRINCIPAL

 

  • Start Date: Mid - End February 2025

Job Overview:

 

As a Travelling Personal Assistant, you will support a high-profile Principal who spends at least 50% of their time traveling to global destinations, including Dubai, New York, LA, London, and various other locations. Reporting to the Senior EA, the Principal, and working within a team of wider PAs and support personnel, this role involves logistical coordination, lifestyle management, event coordination, handling confidential tasks and ensuring seamless daily activities in various locations.

 

Responsibilities also include preparing accommodations, scheduling appointments, managing wardrobes, and assisting with bookings for the Principal’s children. The ideal candidate must be highly organised, flexible, and adept at navigating a dynamic and fast-paced environment, with extensive international travel required, often at short notice.

 

Requirements:

 

  • At least 2 years of experience in lifestyle and events management, concierge, and wardrobe management.
  • Proven experience as a Personal or Executive Assistant, ideally in a similar travelling role.
  • Flexibility to travel internationally with minimal notice and work non-traditional hours.
  • Exceptional organisational, multitasking, and problem-solving skills.
  • Strong verbal and written communication skills.
  • Discretion, professionalism, and confidentiality.
  • Proficiency in technology.
  • Familiarity with luxury services and high-end brands.
  • Strong negotiation and relationship-building skills.

 

Key Responsibilities:

 

  • Manage the Principal’s personal schedule whilst travelling, including meetings, events, personal appointments, and social engagements.
  • Proactively adjust schedules to accommodate time zone changes, unforeseen delays, and changing priorities.
  • Book personal appointments, restaurants, theatres, museums and more for Principal and children.
  • Handle shopping and wardrobe-related tasks, as well as coordinate with designers and fashion houses.
  • Liaise between the Principal and various contacts, including friends, business associates, and suppliers as required.
  • Print and coordinate meeting documents.
  • Plan and organise personal and business events across locations.
  • Ensure venue, transportation, and services are arranged and align with expectations.
  • Manage flights, hotels, ground transport, itineraries, and other travel arrangements.
  • Record and track financial transactions.
  • Provide expenditure reports and maintain budgetary limits.
  • Resolve issues efficiently during travel or events.
  • Handle all personal and business matters with utmost confidentiality and professionalism.
  • Establish and maintain relationships with various service providers, vendors, and suppliers globally.
