The Chace People team is recruiting for an exciting new project, looking for an
experienced Households/Operations Manager to support an international VVIP family at
their large waterside Estate in Istanbul, Turkey. This is a fantastic opportunity, supporting
a Principal who is in residence roughly 10-20% of the year, and which requires a seasoned
House Manager to ensure the smooth running of the properties in their absence, as well
as to support them and their travelling team, daily when they’re in residence.

This exciting new role would suit someone from a Households, Operations, Facilities or
General Manager background, in a similar environment supporting an international VVIP
family or within a 5* luxury hotel/resort setting. Candidates who are already based in
Istanbul are desirable, however for the right individual who is willing to relocate to
Istanbul, our client is open to out of country applications. Accommodation is not
provided and so this will need to be taken into consideration.

 

You will be responsible for overseeing the overall operations of the properties, reporting
to the Estate Manager; including managing housekeepers, overseeing the security of the
property, managing purchases for the property, monitoring property daily and reporting
and maintenance requirements, as well as managing all administration and reports for the
households. You will work to ensure the households run smoothly at all times, and are
always ready for the family to visit, occasionally at short notice. When the family are in
residence, you will work alongside their team of travelling household staff and will be on
hand to support them in their day-to-day activities. You will be required to be able to liaise
at all levels, be very hands-on and have excellent attention to detail.
Your usual working hours when the family are not in residence will be 45 hours per
week, however when the family are in residence you will be expected to be on-hand to
offer 24/7 support as required.

 

Your duties shall include (but not limited to):
Daily monitoring of the property(ies) to ensure everything is working and there
are no issues, reporting any issues to the maintenance team
Creating and managing inventories
Administration and budget control, producing monthly budgets and account
reporting
Overseeing payment process and recording of utility bills, liaising with utility
providers, minor bill paying and petty cash preparation as required
Coordinate maintenance and repairs of all equipment including telephones,
mobile phones, TV/cable, air conditioning systems, power supply systems, water
supply systems, heating systems, security systems, plumbing and sewage
systems, and equipment and other systems in the house
Monitor and review property management system daily, carry out weekly
technical surveys, analyse and action faults ensuring the correct response and
put into place procedures to deal with faults
Responsible for initiating and managing the overall maintenance strategy for the
property. Develop a maintenance plan for the property taking into consideration
seasons, keep a house maintenance journal and record all property maintenance
works with approved contractors
Purchasing materials for the household
Assist with interviewing and hiring additional staff with the Estate Manager
Being responsible for the overall security of the property including but not limited
to H&S and Fire Risk
Keep accurate records of all household(s) activities e.g., maintenance,
purchasing, and send records to the Estate Manager
Assisting the office with any duties in relation to the property or the family
Assisting the travelling team when the family are in residence to ensure all of the
family’s needs are met
Ad hoc duties as required

 

Essential criteria:
• Turkish citizenship
• At least 5 years’ House Manager, Operations Manager, Facilities Manager or
General Manager experience in a similar role supporting an international, VVIP
family or within a 5* luxury hotel environment
• Engineering and / or Technical backgrounds are preferred
• Fluent in Turkish and English – both spoken and written
• Luxury hospitality mindset
• Personable and highly likable character
• Highly motivated, enthusiastic, organized and well presented
• A proactive self-starter
• A good all-rounder with common sense and an eye for detail
• Efficient worker who is resourceful and hands-on

  • Hotel room set up – ensure all necessary arrangements are made according to Principal’s  requirements (relevant travel pouches are in place and any other set-up is completed according to Principal’s plans prior to her arrival (i.e., hair & make-up).
  • Support the Principal’s PA’s & EA with the coordination of lifestyle management duties, e.g., dinner reservations, bill settlements, (where needed) booking of entertainment, and other recreational and business activities.

Supporting an incredibly busy and inspiring individual, you will be working across all her business endeavors, philanthropic and private affairs as well as supporting her Family Office.

 

     This position is central to the effective running of the Principal’s office, working closely with the Principal’s PA and Personal Manager. You will be executing tasks across a variety of projects which will involve liaising with a myriad of people, from household staff and the family business team overseas, to hair & make-up artists and photographers.

 

Key Responsibilities include, but are not limited to:

 

Office Management

  • General management of the Mayfair office;
    • Responsible for the general running and organization of the office, ensuring it is always presentable in readiness for Principal’s guest arrivals.
    • Understanding the Principal’s requirements, ensuring her needs are met when residing in the office.
    • IT management/set-up in preparation for video and conference calls, liaising with IT team to ensure any technical issues are mitigated.
    • Management of stationery cupboard, ensuring stocks and supplies are replenished according to Principal and team requirements.
    • Management of kitchen supplies, ensuring products are always in good supply and are aligned with the principal’s preferences e.g., Herbal teas, favourite juices, healthy snacks etc.
    • Liaise with the landlord, security and all office suppliers, building relationships and negotiating rates.

 

General Administration

  • Offer administrative support to the Principal’s Personal Assistant and Personal Manager, providing services such as telephone liaison, setting up appointments, messaging, correspondence and general communication.
  • Work effectively with the principal’s other EAs located across her network. This will include coordinating zoom calls and providing support for meetings as instructed by the Principal’s PA.
  • Completion of forms prior to beauty treatments and medical appointments.
  • Acting as a conduit between the House Manager and Principal’s PA regarding administrative duties as and when required.
  • Answering all incoming calls, taking messages as appropriate.
  • Management and running of general errands such as;
    • Shopping
    • On-line purchasing
    • Gifting for all occasions and celebrations (birthday, anniversary, Christmas, Diwali, etc)
    • Decorations
  • Ownership & management of gifting schedule for UK & rest of world.

 

Event Preparation

  • Pre-event preparation – Assist Principal’s PA with the organization of make-up artist, hair stylist, nail artist, wardrobe stylist etc., ensuring the principal is fully prepared for all events.
  • Attend home project/styling meetings, taking notes, managing actions and tracking outputs.

 

Travel Planning

  • Assist Principal’s PA with travel planning, creation of detailed itineraries, organization of yacht charters, flight and hotel bookings via agent located overseas.
  • Management of Principal’s travel pouches, ensuring correct products are always contained within.
  • Management of Principal’s travel preference lists, ensuring they’re kept up to date with the Principal’s requirements.
  • Management of all passports & necessary visas for Principal’s family members as well as any staff that travel with her, ensuring they are continuously and proactively managed.

 

Family Office

  • Supporting family office nannies from time to time, for example;
    • Researching child related activities for children’s entertainment.
    • Purchasing errands on behalf of Principal’s children.
    • Always follow household security protocol ensuring that security and house manager are made aware in advance.
    • From time to time, you may be required to ask about fees for any tutors/teachers and gain authorization for this expenditure from the principal.

 

Database Management

  • Management of Principals contact database and any other digital file structures.

 

Press Office

  • Pro-actively research any online articles, press or social media articles relating to the principal.
  • Records of any articles completed by the principal must be maintained, including all interview articles and press cuttings.
  • Monitor Wikipedia page and any magazines where the principal is featured.

 

Other

  • Standing in for colleagues during times of absence
  • Any other reasonable requests from the Principal or Management

Ideally, this position would suit a mature person with few family ties due to the dedication and flexibility required. You will be an excellent valet with great attention to detail and you will be fast on your feet, trustworthy, flexible and discreet, with the ability to maintain the highest standards at all times. You must be a confident driver for occasional Chauffeur duties. 

 

The role will involve all the usual duties associated with a modern-day, hybrid Butler, including but not limited to:

An important point to note is that you must have (or be able to obtain) a shotgun license to be able to support the Principal with his pastime of shooting during the season, and be eligible for a US Visa. There also will be an element of driving in this role so you will be confident and happy to drive the Principal when required in London.
